Mullingar Hockey Club Privacy Policy

This Data Protection Policy applies to Mullingar Hockey Club (‘Mullingar’) and the Mullingar Hockey Club website (the Website – www.Mullingarhc.com) and governs data collection, processing and usage. By becoming a member or volunteer at Mullingar and/ or using the Website, you consent to Mullingar’s data practices described in this statement, as well as our Constitution and Bye Laws. If you do not agree to any part of this Statement of Privacy, then you should stop accessing the Website. For the purposes of the Data Protection Act (Act), the data controller is Colin Watters.

COVID-19 UPDATE JULY 2020 – any data collected by Mullingar for the purposes of enabling the use of the club facilities by an individual in support of the club’s return to hockey plan due to the Covid-19 pandemic (including sensitive data as defined below) will be collected and stored solely for the purpose of complying with the relevant guidelines related to Covid-19. This includes the club’s obligation to share any relevant information with the public health authorities for the purposes of enabling contract tracing if requested to do so. Definitions

Capitalised terms in this Policy have the following meanings: “Relation” means a prospective, current or former relation of Mullingar Hockey Club. The term shall also include any individual agent, employee, representative, member or client of Mullingar Hockey Club where Mullingar Hockey Club has obtained his or her Personal Data from such person as part of its relationship with the person. “The Club” means Mullingar Hockey Club. “Data Subject” means an identified or identifiable natural living person about whom Personal Data is being processed. “Employee” means an employee (whether temporary, permanent, part-time or contract) of Mullingar Hockey Club. An employee may be a resident of a country within the European Economic area. “Europe” or “European” refers to a country in the European Economic Area. “Personal Data” as defined under the European Union Directive 95/46/EC (or any superseding legislation in the ROI), Personal Data means data that personally identifies or may be used to personally identify a person, including an individual’s name in combination with country of birth, marital status, emergency contact, salary information, terms of employment, job qualifications (such as educational degrees earned), address, phone number, e-mail address and password. Personal Data does not include data that is de-identified, anonymous, or publicly available. For Switzerland, the term “person” includes a natural person and a legal entity, regardless of the form of the legal entity. “Sensitive Data” means Personal Data that discloses a Data Subject’s medical or health condition, race or ethnicity, political, religious affiliations, sexual orientation, or trade union membership. “Third Party” means any individual or entity that is neither Mullingar Hockey Club nor a Mullingar Hockey Club employee, agent, contractor or representative.

Collection of your Personal Data
Mullingar Hockey Club may collect and process Personal Data, such as your e-mail address, name, home or work address or telephone number if you are a member of the club or you volunteer at the club. Mullingar Hockey Club also collect anonymous demographic information which is not unique to you, such as your postal code, age, gender, preferences, interests and favourites. Mullingar Hockey Club will not delete member / volunteer information for paying members or active volunteers.
Information about your computer hardware and software also may be automatically collected by the Website. This information can include your IP address, browser type, domain names, access times and referring website addresses. This information is used by Mullingar Hockey Club for the operation of the service, to maintain quality of the service and to provide general statistics regarding use of the Website. Please keep in mind that if you directly disclose Personal Data or Sensitive Data through the Website’s public message boards, this information may be collected and used by others.
Mullingar Hockey Club encourages you to review the privacy statements of websites you choose to link to from the Website, so that you can understand how those websites collect, use and share your information. Mullingar Hockey Club is not responsible for the privacy statements or other content on websites outside of the Mullingar Hockey Club family of websites.

Use of your Personal Data
Mullingar Hockey Club collects and uses your Personal Data to operate as a club and to provide the services and activities that Mullingar Hockey Club provides in any capacity. Mullingar Hockey Club may also periodically send service updates to registered users. Mullingar Hockey Club may also use your Personal Data to inform you of other useful information relating to the Club and its affiliates or to seek your opinion (for example via surveys), where you have consented to be contacted for such purposes.

Storage of Personal Data
As part of operating the Club, the information you provide to us may be transferred to and stored in countries outside of the European Economic Area (EEA). It may also be processed by Employees operating outside the EEA who work for us or one of our suppliers. By way of example, a transfer of your information may happen if any of our servers are located in a country outside of the EEA or one of our service providers is located in a country outside of the EEA. If we transfer or store your information outside the EEA in this way, we will take all steps reasonably necessary to ensure that your privacy rights continue to be protected and treated securely as outlined in this Statement. If you use our service while you are outside the EEA, your information may be transferred outside the EEA in order to provide you with these services. By submitting your Personal Data, you agree to this transfer, storing or processing by us.

Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your Personal Data, we cannot guarantee the security of your data transmitted to our site; any transmission is at your own risk. Once we have received your information, we will use strict procedures and security features to try to prevent unauthorised access.

Mullingar Hockey Club may keep track of the websites and pages our stakeholders visit within the Website, in order to determine what website services are the most popular.

Mullingar Hockey Club will disclose or share your personal information, without notice, only if required to do so by law or in the good faith belief that such action is necessary to: (a) comply with any legal requirements or comply with legal process served on the Website; (b) protect and defend the rights or property of Mullingar Hockey Club; and, (c) act under exigent circumstances to protect the personal safety of users of the Website, or the general public.
Mullingar Hockey Club may disclose your Personal Data to any member of our organisation, which means our Branches as defined in the Mullingar Hockey Club Constitution.

Disclosures/onward transfers of Personal Data
Mullingar Hockey Club does not sell, rent or lease its stakeholder lists to Third Parties. Mullingar Hockey Club may, from time to time, contact you on behalf of external business partners (such as sponsors of Mullingar Hockey Club) about a particular offering that may be of interest to you. In addition, Mullingar Hockey Club may share data with trusted partners to help us perform statistical analysis, send you email or postal mail or provide stakeholder support. All such Third Parties are prohibited from using your Personal Data except to provide these services to the Club and member or volunteer, and they are required to maintain the confidentiality of your information by agreeing to provide adequate protections for the Personal Data that are no less protective than those set out in this Statement.

Sensitive Data
Sensitive Data is any sensitive data relating to you, including Medical information. Mullingar Hockey Club may process Sensitive Data, for example to record accidents or injuries that take place during your time at the Club or in order to make relevant parties aware of any pre-existing medical conditions that may be important in relation to any activities undertaken while at the Club.

Use of cookies
The Mullingar Hockey Club website may use “cookies” to help you personalise your online experience. A cookie is a text file that is placed on your hard drive by a web page server. Cookies cannot be used to run programs or deliver viruses to your computer. Cookies are uniquely assigned to you and can only be read by a web server in the domain that issued the cookie to you.

Data security & Integrity
The Website secures your Personal Data from unauthorised access, use or disclosure. The Website secures the Personal Data you provide on computer servers in a controlled, secure environment, protected from unauthorised access, use or disclosure. When personal information (such as a credit card number) is transmitted to other websites, it is protected through the use of encryption, such as the Secure Socket Layer (SSL) protocol. Where we have given you (or where you have chosen) a password which enables you to access certain parts of our site, you are responsible for keeping this password confidential. We ask you not to share a password with anyone.

Your rights
You have the right to ask us not to process your Personal Data for marketing purposes. We will usually inform you (before collecting your data) if we intend to use your data for such purposes or if we intend to disclose your information to any third party for such purposes. Right to access, change or delete Personal Data
Right to access: the Act gives Data Subjects the right to access information held about them, to ensure that such Personal Data is accurate and relevant for the purposes for which the Website collected the data. You may review your Personal Data stored in the Website databases and correct, erase or block any data that is incorrect, as permitted by applicable law. Your right of access can be exercised in accordance with the Act.
You may edit your Personal Data by contacting us by phone or email. In making modifications to your Personal Data, you must provide only truthful, complete and accurate information. To request erasure of Personal Data, please submit a written request.
Satisfying Requests for Access, Modifications, and Corrections: we will endeavour to respond in a timely manner to all reasonable written requests to view, modify, or inactivate Personal Data. Employees: Mullingar Hockey Club Employees may access and use Personal Data only if they are authorised to do so and only for the purpose for which they are authorised.

Children under thirteen
Our Services are not intended for use by children under the age of 13 without parents or guardian’s consent. We do not knowingly collect personally identifiable information from children under 13. If you become aware that a child has provided us with Personal Information, please contact us as set forth in this Privacy Policy.

Changes to this Statement
Mullingar Hockey Club will occasionally update this Statement of Privacy to reflect company and stakeholder feedback. Mullingar Hockey Club encourages you to periodically review this Statement to be informed of how Mullingar Hockey Club is protecting your information.

Terms and Conditions

Code of Behavior for Players

1. Play for enjoyment and become part of the Mullingar Family.
2. Respect the “Game of Hockey” and play within the rules.
3. Accept the Umpires’ decisions and let your Captain ask questions.
4. Play with control. Do not lose your temper.
5. Always do your best to be committed to your game, your team, and your club.
6. Respect your opponent. Treat all players as you would like to be treated. Do not “Bully” or take advantage of any player.
7. Adult players must be mindful that you will play with and against schoolboys / girls. Your behavior and attitude to our young players should be positive and encouraging at all times. Our young players are an essential part of the club and hockey in general. Mullingar Hockey Club abides by the “Code of Ethics for Children’s Sport”.
8. At the end of the match, thank your opponents and the umpires, whatever the result.
9. Always remember that you owe a duty of care to your team and your opponents. Tackle hard but fairly. Never attempt to injure another player on purpose.
10. Winning and losing are part of sport. Win with humility; lose with dignity.
11. Being part of a team means attending training along with matches. Co-operate with your captain by informing them if you cannot be at training.
12. You are part of a squad of players. Respect the coach’s decision in relation to which 11 players are on the pitch at any one time. Teams evolve as matches evolve.
13. Remember you are representing your team and your club. Do not let us down by your behavior on or off the pitch.

Above all Play Well and Have Fun

Code of Behavior for Coaches and Captains

1. If you are coaching an underage team, or have schoolboys/girls on your squad, remember that you are acting ‘in loco parentis’ and that you have a duty of care to all of your players.

2. Guidelines for working with U18s:
• All phone/electronic communications with underage players must be with the nominated parent/guardian. Such communications are permitted with the child only with the express prior consent of the parent/guardian and, in those circumstances, the parent/guardian must be copied in on all the communications. If you set up a group for your team (on What’s App for example) the child’s parent/guardian must be included in the group
• Selection decisions (especially de-selection) should be communicated with the parent present or through the parent.
• Timing of communication should be carefully considered around other commitments (i.e., school exams) and should not take place after 21:30
• Ensure that young people are not exposed to any forms of explicit or adult audience type material (including references to drinking etc). If your team has a What’s App group parental permission should be sought, and parents included. If this platform is used more as a social way of communicating, then do not include U18s and be sure to communicate with the parent/child in another manner.

4. Create a safe and enjoyable environment in which to train and play.

5. Lead by example - players need a coach/captain they can respect as a role model.

6. Be generous with your praise and never ridicule or shout at players for making mistakes or losing a match.

7. Teach your players to play by the rules.

8. Ensure that you are appropriately qualified by gaining the relevant coaching certification for your particular level.

9. Be reasonable in your demands on the players’ time, energy, and enthusiasm. Establish good communication practices from the outset.

10. Encourage respect for all participants –teammates and opponents, as well as match officials.

Code of Behavior for Parents

1. In Mullingar, we rarely keep score at underage level in friendly matches. We focus on enjoyment, best effort, and team spirit. We use Irish Hockey’s “Hooked for Life” as a guide:
- Up to 3rd class will play “Fun 4s” – four a side games in a small space with two attacking goals where everyone is guaranteed to be involved.
- 4th/5th will play “Super 6s” – 6 a side on a quarter of a pitch.
- 6th Class / 1st Yr will play “Extreme 8’s” – 8 a side on half a pitch.

2. Remember, young people play hockey for their enjoyment, not only yours.
3. Help young people to work towards skills improvement and good sportsmanship.
4. Set a good example by applauding good play on both sides.
5. Never ridicule, humiliate, or shout at young players for making a mistake or losing a match.
6. Do not place emphasis on winning at all costs.
7. Do not force an unwilling child to participate in the playing of hockey. If the child is to play, he/she will do so in good time through your and our encouragement.
8. We promote good behavior among players – we expect the same of the parents: do not publicly question the umpires’ judgement and never their honesty.
9. Recognise the value and importance of volunteer umpires and coaches.

Please remember, the players are children, the coaches are giving up their time for your child and the umpires cannot see everything. This is Junior Hockey, not the final of the Olympics.
